We are working with a multi-site / multi-state specialty healthcare / veterinary group that is seeking a tactical, but strategic Benefits Manager. This group is currently in 29 states with nearly 3000 employees and are continuing to grow through acquisitions.
Summary:
We are currently seeking a Benefits Manager to help shape our benefits strategy, manage the administration and communication of our group benefit programs and processes, and support the development of a Benefits Specialist.
The Benefits Manager provides input into the overall benefits strategy, roadmap, and company value proposition. The Manager is also responsible for directing, planning, and administering the day-to-day operations of group benefit programs (health, dental, vision, life, STD/LTD, HSA, 401(k) retirement plan, etc.) including maintaining plan compliance and communication with employees and management.
The Benefits Manager is also essential in the due diligence, analysis, and onboarding of new partner hospitals.
Essential Responsibilities:
- Evaluate and monitor benefit offerings compared to the veterinary industry and best-in-class employers.
- Design, recommend, and implement new benefits programs; examine possible plan designs and benefits cost changes.
- Serve as primary contact for our benefit broker, plan vendors and third-party administrators.
- Evaluate and revise internal processes to reduce costs and increase efficiency.
- Document and maintain administrative procedures for benefits processes.
- Ensure compliance with applicable government regulations; ensure timeliness and accuracy of required reporting and fees.
- Coordinate daily benefits processing; handle enrollments, COBRA, terminations, changes, beneficiaries, disability and accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships, and compliance testing. Partner with the payroll team and external vendors as needed to execute transactions.
- Forecast company-wide annual, quarterly, and monthly benefit costs and trends for all benefit programs.
- Ensure compliance with all regulatory needs, including but not limited to ERISA, COBRA, Workers Compensation, ACA, FMLA, and ADA, by staying up to date on regulatory changes to ensure proper
- Participate in LOA/FMLA/ADA process administration, managing short-term disability plan and other state disability plans in coordination with talent management and payroll
- Oversee and administer the 401(k) plan, working with the Director of Payroll and the payroll team.
- Ensure continued compliance and reporting for Multiple Employer Welfare Arrangement (MEWA).
- Oversee, track, and manage annual benefit renewals. For hospitals not participating in benefit plans, evaluate plans annually to determine if they should continue. Make recommendations to practice on annual renewal and benefit plan selection process.
- Supporting the larger Partnership and Integrations team, the Benefits Manager will also manage projects relative to M&A due diligence and all benefits-related integration activities, including benefits analyses, presentations to new partnerships, employee education meetings, and ensuring seamless benefits transitions for new partnership
- Perform other related duties as required and assigned.
Qualifications:
This position requires organization, prioritization, professional communication, and attention to detail. The individual must be able to make recommendations by using judgment consistent with company culture, organizational goals, standards, practices, policies, and procedures, as well as state and federal employment, IRS, DOL, and ERISA laws. Additionally, this role requires high-level analytical skills, including proficiency in Excel and reporting capabilities to resolve issues, meet reporting requirements, and analyze information. The ability to work independently and under pressure with priorities constantly changing is required.
- Bachelor’s degree and a minimum of 7+ years of benefits administration experience. At least two years of experience managing employees engaged in benefits administration.
- Comprehensive benefits administration background required, including health and welfare and 401(k) plan administration experience, including analysis of data, legal compliance, and annual reporting
- Experience in a complex, multi-site, multi-state organization
- Experience with benefits acquisition integrations preferred, particularly in a high-growth organization.
- Must have experience managing benefits in a self-service, fully online
- Demonstrated experience of providing a high level of service to internal
- HR or benefits-related certification preferred (i.e. PHR/SPHR, SHRM-CP/SHRM-SCP, CEBS).
- Strong verbal and written communication skills, with a high sense of urgency and ability to work independently and effectively communicate sensitive and confidential information.
