SUMMARY
This position is with a fast growing, multi-state specialty physician group. The Executive Assistant will support the CEO and partner with the executive team to assist in daily operations using strong leadership and problem-solving skills. This role will be charged with streamlining strategic initiatives, managing programs, and communicating objectives to departments. The Executive Assistant will focus on long-term projects to support the growth of the organization. This is a high-functioning position that requires a successful background in business management.
Geography – Franklin, TN (onsite required)
Responsibilities:
– Lead daily operations of the executive office, including providing administrative support to the CEO in the areas of strategic priorities, scheduling, meeting preparation, and communications.
– Organize and facilitate leadership meetings, board meetings, including structuring and delivering company-wide communication.
– Manage projects that do not fit neatly within the organizational chart or that fall between departments or leadership areas of responsibility.
– Serve as an extension of the CEO and information funnel, filter, and facilitator with internal and external stakeholders.
– Follow up with the CEO’s team when goals are not being achieved to determine why objectives are not being met and provide recommendations for improvement.
– Manage key relationships and develop a process to track and nurture key stakeholders, equity partners, and internal and external customers.
– Act as a thought partner and strategic advisor, participating in meetings, offering a different perspective and challenging ideas, and following up on action items with the team.
– Improve current processes and optimize organizational procedures for efficiency and productivity.
– Provide analysis, recommendations, and options to the CEO regarding high impact decisions.
Requirements:
– Bachelor’s degree in business administration or related field (preferred)
– Seven or more years of experience in a business management or executive role
– Experience leading and directing multiple teams and departments
– Experience in planning and implementing strategic initiatives
– Excellent written and verbal communication skills
– Advanced computer skills, including proficiency in Microsoft Office Suite
– Experience in data analysis and budget management
– Consulting experience with a focus on operations management
– Proven success in a project coordination role
– Ability to develop creative solutions
– Strong project-reporting skills with a focus on interdepartmental communication
